Design and Schedule Sampling Tasks
The process begins in the Scheduling and Planning phase, where you define the scope of your field program. After opening the project select File > New > Task.
Step 1: Specify Task Information

- On the Task Information form select Sample Collection. The task can be configured as one-time or recurring events for long-term monitoring programs. If it is reoccurring, the period between sampling should be specified.
- The name, priority, reoccurrence, and start date and time should be specified.
Step 2: Specify the Sampling Defaults

- Specify the type of sampling, lab analysis, personnel, and equipment required for the task.
Step 3: Assign Stations and Sample

- Associate (link) or create stations and samples connected to the task.
- Stations are used to represent the physical location of where one or more samples are collected. These samples can be collected during a singular event, continuously, of on re-occurring events.
- Samples can either be collected at stations or at locations specified within the project.
- Stations and samples can also be associated with a task when they are created.
- Once a task is set, the system can automatically generate barcoded sample labels and Chains of Custody (COCs) to ensure data integrity from the field to the lab.
Step 4: Enable Automated Notifications
To maintain a proactive workflow, EDMS can send automated alerts via email or SMS based on specific triggers.

- Trigger Immediate Alerts: Configure the system to send instant notifications for:
- Authorization of Lab Results: Project managers are alerted the moment the lab uploads and authorizes final data.
- Non-Compliance Events: Automated alerts are sent if a sample exceeds regulatory limits or if a “non-compliance” event occurs.
- Due Date Reminders: Ensure field teams and analysts stay on schedule with automated reminders for upcoming or late tasks.
