In the geoscientific world, data is a project’s most valuable asset—but only if it is accessible, accurate, and integrated. GaeaSynergy provides a centralized Data Management framework that acts as the “single version of truth” for your project, seamlessly bridging the gap between field collection and office analysis.

In GaeaSynergy, the database architecture is designed for both security and scalability, utilizing a tiered system that separates administrative data from specific technical project information.

The Main Database: The Command Center

The Main Database serves as the administrative heart of the software. It does not store individual borehole logs or lab tests; instead, it manages:

  • User Credentials & Permissions: Controlling who can view or edit specific data.
  • Global Settings: Storing library tables, soil types, and company-wide templates.
  • Project Indexing: Acts as a master directory that “points” to where various project databases are stored on your server or local drive.

Separate Project Databases: Data Integrity & Speed

Each project created in GaeaSynergy is housed in its own Separate Project Database. This approach offers several critical advantages:

  • Performance: The software only loads the data relevant to your current project, preventing sluggishness that occurs in “one-size-fits-all” massive databases.
  • Portability: You can easily move a single project database to a different server or send it to a colleague without risking the entire company’s dataset.
  • Risk Mitigation: If one project file becomes corrupted, the rest of your company’s projects and the main administrative settings remain completely unaffected.

Backups and Archiving

Because GaeaSynergy uses a relational database structure, standard “copy-pasting” files isn’t enough.

  • Automated Backups: GaeaSynergy includes a Backup and Restore utility that packages the files into a secure compressed format.
  • Archives: Once a project is completed, you can move its specific project database to long-term “cold storage” (Archive). The Main Database will still remember it exists but won’t waste system resources keeping it active in the daily workspace.

Automatic Synchronization

For network versions, the GaeaSynergy Data Manager runs as a background service, ensuring that data is consistently merged and updated across the enterprise.

Mobile Field Connectivity: WinLoG & EDMS Field

GaeaSynergy extends its reach to the site through a suite of mobile applications designed for rugged, “gloves-on” use.

  • WinLoG Field Assistant: This Android tablet app replaces paper notebooks. Field teams can log lithology and well construction details instantly, using drop-down menus to speed up data entry and minimize errors.
  • WinLoG RT: Designed for Windows laptops and tablets, WinLoG RT allows for real-time creation and management of boring and well data. It can be used independently or as a direct field extension of the main office application.
  • EDMS Field: Specifically tailored for environmental technicians, this module facilitates the recording of field parameters and sample metadata directly at the source.

The EDI Advantage: Seamless Data Exchange

The most critical feature of this ecosystem is the Electronic Data Interchange (EDI).

  • Remote Uploading: Data collected in the field via the WinLoG Field Assistant or WinLoG RT is sent to the network as an EDI file.
  • Automated Merging: The GaeaSynergy Data Manager automatically downloads these files from an FTP site and merges them into the main database on the server, eliminating the need for manual transcription and reducing the risk of data loss.
