What EDMS manages and where it fits.

What is EDMS?

EDMS is GAEA Technologies’ environmental data management system for planning sampling work, managing stations and samples, importing laboratory results, reviewing QA/QC and criteria, and preparing reports and visualizations. It replaces disconnected spreadsheets with a structured, traceable project workflow.

Which types of environmental projects can use EDMS?

EDMS can support site investigations, groundwater and surface-water monitoring, remediation programs, industrial monitoring, landfill and waste programs, permit sampling, and other projects that connect locations, samples, analyses, criteria and reports.

Which environmental media are supported?

EDMS can manage structured records for soil, rock, groundwater, surface water, air, biological materials, fluids, solids and meteorological information.

Is EDMS only a laboratory-results database?

No. Laboratory results are one part of the workflow. EDMS also manages stations, sampling schedules, tasks, personnel, field observations, sample containers, shipping, chain of custody, methods, criteria, notifications, maps and reporting outputs.

Is EDMS part of GaeaSynergy?

EDMS is the environmental data management component of the GaeaSynergy platform. This allows environmental records to be used with project GIS, boreholes and wells, cross-sections, contours, 3D displays and project reporting views.

Can EDMS schedule recurring sampling events?

Yes. EDMS can manage singular or recurring sampling events, assign stations and personnel, define required parameter groups, and display planned work in task lists and calendars.

What is the difference between a station and a sample?

A station represents the reusable physical sampling location and its spatial or construction information. A sample represents material collected at that station during a particular event, with its own identifiers, methods, field observations, containers and requested analyses.

What is EDMS Field?

EDMS Field is a separate Windows application for laptops and tablets. It receives planned station and sampling requirements, captures field records and photographs, and returns the information to EDMS through structured EDI files.

Does EDMS Field require staff to re-enter office data?

No. The intended workflow transfers planned information from EDMS to the field application and returns collected records in a structured file, reducing repeated transcription. Imported records should still be reviewed before they are accepted into the project.

Can EDMS produce sample labels and chain-of-custody forms?

Yes. EDMS can populate required bottle information, print sample labels and prepare chain-of-custody documentation for selected laboratories and analyses.

What should be standardized before a monitoring program begins?

Can EDMS import laboratory EDD or EDI files?

Yes. EDMS can import structured laboratory deliverables, verify the incoming records and connect analytical results to the corresponding project samples. Configurable scripts can also support XML laboratory formats.

What is EDMS Lab?

EDMS Lab is a free companion program that allows a laboratory to enter analytical results and send them to a client’s EDMS environment as an EDI file through the supported email or FTP workflow.

Which laboratory details can remain with a result?

Records can include the sample and parameter relationship, analysis method, concentration and units, detection limit, qualifier, dates and supporting certificate of analysis. The exact imported fields depend on the configured laboratory format.

Which QA/QC records can EDMS report?

EDMS can support review and reporting of duplicates, blanks, holding times, spikes, control samples, reference materials and surrogates, together with result qualifiers and detection-limit information.

Does a successful import mean every result is technically acceptable?

No. A successful import confirms that records were accepted into the configured data structure. Qualified staff should still review sample identity, units, methods, qualifiers, detection limits, QA/QC performance and any exceptions before results are reported.

Can certificates of analysis be retained with the project?

Yes. EDMS can import and retain laboratory certificates so reported values can remain connected to their supporting documentation.

Regulations, Alerts and Reporting

Can EDMS compare results with environmental regulations?

Yes. EDMS can store multiple criteria and limits, associate them with parameters and applicability conditions, convert compatible concentration units, and identify results requiring exceedance review. See the EDMS Regulations page for the complete workflow.

Does EDMS decide which regulation governs a project?

No. EDMS supports criteria management and comparison, but applicability can depend on jurisdiction, program, environmental medium, land use, depth and other site-specific conditions. A qualified professional must verify the governing requirement against the current official agency source.

Can EDMS store more than one criterion for the same parameter?

Yes. Multiple limits can be stored for a parameter so results can be reviewed against the criteria relevant to different programs or conditions. The final report should identify which criterion was applied and why.

How are non-detect results and detection limits handled?

EDMS retains qualifiers and detection-limit information so reviewers can interpret non-detects in context. A detection limit above a selected criterion may require special review and should not automatically be treated as proof of compliance.

Can EDMS send alerts?

Yes. Notifications can be issued through internal messages, email or SMS for configured sampling, analysis, incomplete-task, non-compliance or potential-exceedance events. Recipients and thresholds should be configured to match the project’s review process.

Which reports and outputs are available?

EDMS can use preset or customized reports and can present results in tables, graphs, GIS maps and GaeaSynergy project views. Selected outputs can be exported to Excel or PDF.

Can EDMS display stations and samples on a map?

Yes. Stations and sample locations can be displayed in the project GIS with other spatial project information.

Can EDMS samples be linked to WinLoG boreholes and wells?

Yes. Environmental samples can be associated with boreholes and wells in the shared GaeaSynergy project so sample information, water levels and concentrations can be interpreted with subsurface records.

Can environmental results be shown on WinFence cross-sections?

Yes. Selected EDMS records can be used with WinFence cross-sections to show sample locations and environmental results alongside wells, boreholes, lithology and groundwater information.

Can EDMS data be gridded, contoured or shown in 3D?

Yes. The wider GaeaSynergy platform can use appropriate EDMS records for groundwater-elevation or concentration contours and for mapped or 3D project displays. The suitability of interpolation depends on data density, distribution and the project interpretation.

Where can I see completed EDMS outputs?
